The 35 capabilities InspectDay ships today. Where something works only up to a point, the limit is stated here rather than in a footnote after you have bought it.

Report and share

Publish the inspection and get it to the person who ordered it.

  • Publish a report

    Title the report and publish it from the inspection.

    LimitPublishing is one way. There is no unpublish and no revision after the fact.

  • Share a link

    Send a direct link the client opens in a browser.

    LimitA share link opens without a passcode.

  • Share by email with a passcode

    Email the report to up to ten recipients, each opening it with a one-time code.

    LimitLink and email sharing are mutually exclusive. Switching one on deactivates the other.

  • The client's view

    Clients read findings, recommended actions and photos in the browser, and can filter to the conditions they care about.

  • Export a PDF

    Download the published report as a PDF from the browser.

    LimitThe export is an image of the report, so its text is not selectable or searchable. There is no PDF export on mobile.

Findings and evidence

Record what you find on site, with the photos and notes that back it up.

  • Work through the inspection

    Move section by section, area by area, item by item, with progress shown as you go.

    LimitSections and areas come from the template. On a live inspection you can add and remove items, but not sections or areas.

  • Record a condition

    Mark every item Good, Needs Attention, Deficient or Unable to Inspect.

    LimitThe four conditions are fixed and apply to items, not to sections or areas.

  • Add findings

    Record what you found at five levels: Positive, Concern, Defect, Major Defect and Material Defect.

    LimitFindings are added and removed on the web app. Editing one in place is available on mobile.

  • Recommend an action

    Say what should happen next: Maintain, Replace, Clean, Consult Specialist or Other, and flag it high priority.

  • Reuse and copy

    Pull a finding or action from your library, or copy one you already wrote onto another item.

    LimitThe picker offers entries from the item's own category.

  • What to look for

    Guidance on the item you are inspecting, so a newer inspector reports it the way you would.

  • Photos and video

    Capture on site or add from the gallery, and attach media to an item, a finding or a recommended action.

    LimitGallery selection takes up to ten items at a time, and media uploads at full capture resolution.

  • Voice notes

    Record a note on site rather than typing it, and play it back against the item.

    LimitRecording happens on mobile; the web app accepts an uploaded audio file. Transcription runs on the server after upload, not on the device.

  • Annotate a photo

    Mark up the photo so the defect is obvious to the reader.

    LimitAvailable on iOS. Annotations are not retained on Android, and the web app has no annotation.

Templates and reusable content

Set up the structure once, then reuse it on every inspection.

  • Inspection templates

    Build a reusable structure of sections, areas and items, and drag sections and areas into the order you inspect in.

    LimitTemplates are built on the web app. Items are added from your item library rather than typed inline, and item order within an area is not draggable.

  • Duplicate a template

    Start a new template from an existing one instead of rebuilding it.

  • Item library

    Keep the things you inspect in one place, grouped into categories, with a reference photo on each.

    LimitItems are added and edited one at a time. There is no bulk import or spreadsheet upload.

  • Finding and action libraries

    Write your standard findings and recommended actions once so the team reports them the same way.

  • Custom fields

    Add your own fields to an item, including option lists, and fill them during the inspection.

    LimitFields are defined on the web app and filled on either.

  • Property types

    Group templates by the kind of property so scheduling offers the right ones.

Scheduling and assignment

Book the job with the property, the client and the inspector on it.

  • Create an inspection

    Capture the property, the client and the date, pick the template, and assign who is going.

    LimitA date, not a time slot. There is no calendar view, availability check or conflict detection, and creating an inspection needs a connection.

  • Assign inspectors

    Put the job in the right hands before anyone drives out.

    LimitThe web app assigns several inspectors to one inspection. The mobile app assigns one.

  • Client and property details

    Record who the report is for and what is being inspected, including area, age and location.

    LimitClient details belong to the inspection. There is no separate client record, no client history, and nothing for clients to log into.

Team and oversight

Who can do what, and how the office sees the work.

  • Dashboard

    Inspections by status and property type, what is scheduled, what was recently published, and who is busiest.

    LimitAvailable to owners and admins.

  • Find an inspection

    Filter by status, property type, template and date range, and search by report title.

    LimitSorting a column orders the page you are viewing rather than the whole list.

  • Export the list

    Take the inspection list out as CSV.

    LimitThe export covers the list columns. It does not include findings, media or report content.

  • Roles

    Owner, Admin, Manager and Inspector, each seeing the part of the app that matches the job.

  • Add team members

    Create a team member and set their role.

    LimitTeam members are created directly. There is no invitation to accept, no pending state and no revoke.

  • Company profile

    Your company details and logo, applied to your reports.

    LimitOrganisation settings are on the web app only.

  • Sign in

    A one-time code sent to your email, or Google. Apple sign-in on iOS.

    LimitThere is no password to choose, forget or reset.

  • Plans, seats and invoices

    Change plan, add seats and read your invoices from the billing page.

    LimitOwners only, and payment is completed on the payment provider's own checkout.

Working without a signal

Inspections happen in basements and empty houses. Here is exactly what holds up.

  • Inspections you have opened stay available

    Sections, areas, items, findings and recommended actions you have already loaded remain on the device.

  • Your edits queue and send later

    Conditions, findings, actions, photos and voice notes are held on the device and sent when you are back on a connection.

    LimitSending is attempted while the app is open. Confirm your work has sent before you rely on it.

  • What still needs a connection

    Creating an inspection, choosing a template, dashboards and reports all need to reach the server.

    LimitPhotos already uploaded are not kept on the device, so they do not display while you are offline.

  • Check the report before you publish

    Queued work sends while the app is open, so confirm the report contains what you expect before you send it out.

    LimitPublishing does not check that queued changes have finished sending, and sending happens while the app is open.
